# Automation actions: tasks, emails and webhooks

## Build the tasks, emails and webhooks your automation rules run.

Automation actions are the things LendingWise does for you: create a task, send an email or send data to another app with a webhook. You build them once in **Settings \> Automation \> Actions**, then attach them to an automation rule that decides when they run. An action on its own does nothing until a rule uses it.

Find the Actions page

In the sidebar, click **Settings**, then **Automation**, then **Actions**. The page has four tabs:

- **Tasks**: tasks that get created and assigned on the loan file.
- **E-mails**: emails that get sent (the page heading reads "Email Notifications").
- **Webhooks**: data sent to another app.
- **Rules**: the rules that run them.

Each tab lists what you've built, with its timing (Instant or Schedule), who it goes to and whether it's ON or OFF. The lists have no search or filter, so give every action a clear name.

Instant or Schedule

Every action asks when it should happen:

- **Instant**: runs as soon as the rule fires.
- **Schedule**: runs a number of days After, Before or On a date on the loan file, such as File Created Date, Target Closing Date, Funding Date or Maturity Date.

Neither is picked for you, so choose one. Scheduled actions run on a day, not at a set time of day. Pick a date your team always fills in on the file (our recommendation).

Create a task

Open the **Tasks** tab and click **Create Task**. The form is called "Automated Tasks Details".

1. **When will task get created?** Pick Instant or Schedule. With Schedule, enter the number of Day(s), pick After, Before or On, and pick the reference date. **Remind also via** sends a reminder by SMS or E-Mail too. SMS needs a number in Settings \> Platform Settings \> Company Info \> Cell Number. The E-Mail reminder needs a Reminder Date.
2. **Task created by**: pick a role (Broker, Loan Officer, Branch, Acting User, Loan Officer Assistant, Manager or Processor) **or** a specific employee. This is who the task shows as assigned by.
3. **Who gets the task:** 
     - **Select user roles to be assigned**: roles and file contact types. A role only gets the task if someone with that role is already assigned to the file when the rule runs.
     - **Select specific user(s) to be assigned**: these back office users always get the task, whether or not they're on the file.
4. **Due Date** and **Reminder Date**: a number of Day(s) counted from the Task Creation Date. Due Date can be After or On; Reminder Date can be After or Before. One day means 24 hours after the task is created.

Then fill in the rest:

- **Select default status of the task**: Not Started, In Progress or Completed.
- **Subject**: the task's name. It's also how you'll find the task in the list and in rules.
- **Select any document(s)**: attach a file to the task.
- **Send borrower file link**: any email sent because of this task includes a link to the borrower's file.
- **Task Description**: you can use merge tags such as ##Borrower Name##.
- **Auto-Generated Docs**: attach documents generated from the file.

Click **Save**. On the loan file, automation tasks show in their own **Automation Tasks** box under the Task List (in the menu on the left side of the loan file, under WORK, click Task).

Create an email

Open the **E-mails** tab and click **Create Notifications**. The form is called "Automated Email Notifications Details".

Start with **When is the Email/Event due?**: Instant or Schedule (see above).

1. **Send email from**: pick a role **or** a specific employee. We recommend **Branch**: every file has a branch, so the email still goes out when, say, no loan officer is assigned yet (our recommendation).
2. **Select Recipients**: pick roles (Borrower, Co-Borrower, Broker, Loan Officer, Branch, Loan Officer Assistant, Manager, Processor), the file's **Loan Inbox E-mail**, file contact types (Title Rep, Escrow, Appraiser and so on), or type any email address. Use the **Cc** and **Bcc** buttons to copy people in. A role only receives the email if someone with that role is assigned to the file when the rule runs.
3. **Select specific Back Office User(s)**: these users always receive the email, whether or not they're on the file.
4. **Select E-Mail Template**: start from one of your E-mail Wizard templates instead of writing the body from scratch. See [E-mail Wizard: email templates and merge tags](https://help.lendingwise.com/knowledge/customizing-email-templates?hsLang=en).
5. **Include file related info & links** is ticked when you open the form, and the body starts with a block of merge tags: borrower name, entity name, phone, cell, email, property address, loan program, loan status and a link to the loan file. If the email goes to someone who shouldn't see those details, delete those lines (our recommendation).

Then add the **Subject**, any documents and the body. There's no separate name for an email action: the Subject is its name in the list and in rules, so make it clear. Type merge tags as ##Tag Name## (two hashes each side); copy them from the legend in the E-mail Wizard Tool. A tag with no data on the file comes out blank. Click **Save**.

Automation emails are sent from LendingWise's system email address with the sender's name on them. You'll find them on the loan file in the **Scheduled Emails/Email History** window, with Created From "Automation".

Create a webhook

A webhook sends loan file data to another app, such as Zapier or your own system, when a rule fires. Open the **Webhooks** tab and click **Create Webhook**. The "Add Webhook Details" window opens.

Give the webhook a **Name**, then:

1. **URL to Notify** (the address the other app gave you), **Method** (POST or GET) and **Post Format** (Form Data or JSON).
2. **Webhook Status** starts on Enabled and **Format Data** on Yes.
3. **When do you want to post data for Webhook?** Instant or Schedule.
4. **URL Parameters**: type the name the other app expects and pick the loan file field to send as its value. Click the blue + to add more.
5. **Custom Parameters** send fixed values you type. **Authentication Parameters** hold the header names and keys the other app needs to accept the data.

Under the webhooks list there's a tester: pick a webhook with the circle at the start of its row, enter a File ID, choose Include All Available Fields and Format Data if you want them, and click **Test Selected Webhook**. It sends that file's real data to the URL, so test with a test file (our recommendation).

Turn an action on or off, edit or delete it

New actions are saved ON. To switch one off, click the pencil (Click to edit) on its row. The **OFF / ON** switch is at the top right of the edit page. Flipping it asks you to confirm and saves straight away. The switch only shows on an action you've already saved.

The trash icon on each row deletes the action. If you might need it again, switch it OFF instead (our recommendation). When you edit a rule, save your changes first and flip the rule's switch afterwards, or the change may not stick (our recommendation).

Next: attach your actions to a rule

Go to **Settings \> Automation \> Rules**, create or edit a rule, click **Done** after setting its trigger, and attach your task, email or webhook as an Instant or Scheduled action.  Good to know

- The forms don't mark required fields. Fill in the timing, who it's from and who it goes to before you save.
- A role-based recipient or assignee only counts if someone with that role is on the file. If an email or task never shows up, check who's assigned to the file.
- Test new actions on a test loan file with your own email address before you switch the rule on for real files (our recommendation).
