Automations with Workflow Step Trigger

This article guides users on setting up automations triggered by workflow steps in the LendingWise platform. By linking specific workflow steps to automated actions, lenders can streamline communication and optimize the efficiency of loan processing.

In LendingWise, automations can be triggered by completing specific workflow steps. This functionality allows teams to stay organized and automate tasks seamlessly, ensuring that key actions like sending applications or notifications happen automatically once a predefined task is completed.

Understanding Workflow Steps in LendingWise

  • Workflow Overview:
    • A workflow in LendingWise functions as a smart checklist, recording task progress and coordinating team efforts.
    • Each workflow box can be checked off to indicate completion, acting not only as a task marker but also capable of triggering automations.

Setting Up an Automation with a Workflow Step

  1. Accessing the Workflow:

    • Navigate to "Pipeline", then "Pipeline Main".
    • Click on the "Quick View" folder of a loan file to view and manage workflows.
    • Use the workflow checkboxes to keep track of tasks and trigger actions.
  2. Creating an Email for the Automation:

    • Go to Settings > Automation and Actions.
    • Initiate the email setup by clicking “Create an Email” or using an existing email template.
    • For this example, use the template "Linked Full App Borrower" to send a link to the borrower's full application when the workflow step is checked.
  3. Configuring the Email:

    • Set the sender as the branch and the recipient as the borrower, ensuring reliable delivery from a known source.
    • Finalize by saving the email configuration, thus completing the email action setup.
  4. Defining the Automation Rule:

    • Navigate to "Create Rule" and select the relevant module type (e.g., Commercial Residential Real Estate).
    • Name the rule for easy identification, indicating it's linked to a workflow trigger.
    • Allow rule to repeat if necessary.
  5. Selecting the Workflow Trigger:

    • Choose the specific workflow step from the list, for example, "Send Link to Full App".
    • Complete the rule setup by linking the action to the rule.
  6. Finalizing and Testing the Automation:

    • Save all configurations to ensure the automation is active.
    • Test the automation by checking off the relevant workflow step in the loan file’s Quick View, which should trigger the email action.

Automation Rule Triggers

Utilizing workflow step triggers in LendingWise facilitates automated task management and communication, providing a streamlined process for moving loan files through the pipeline. By setting up these automations, teams can enhance productivity and reduce manual intervention, ensuring timely actions aligned with loan processing workflows.
